How to use CoachevaOS

Set up your CoachevaOS account

Sign up with email or Google, pick your portal address, niche, country, currency and time zone, then follow the Getting started checklist on your dashboard.

Add or import clients

Use Add client on the Clients page for one person, or Import clients to upload a CSV or Excel file; nothing is created until you review the column mapping.

How your clients log in to their portal

A new client joins through their personal invite link; after that, Copy portal link on their profile gives a permanent link that takes them to their own dashboard.

Capture and follow up on leads

Create a lead-capture form under Forms, share its link or feature it on your public profile, and work every enquiry through the Leads board from New to Booked or Lost.

Create programs and packages

Under Programs, click New template to build a reusable program with items and a price; mark it Client-selectable to show it on your clients' Packages page.

Schedule sessions and connect your calendar

Set your weekly availability under Calendar, connect Google Meet, Zoom or Calendly so sessions get a real join link, then schedule from a client's profile or let clients book.

Track invoices and client payments

Add invoices on each client's Billing tab. Clients see them in their portal with a Pay now button that pays you directly by UPI, your payment link or bank transfer, then tap I've paid so you can confirm.

Send WhatsApp reminders in one tap

WhatsApp buttons open a chat with your reminder already written; you check it and tap Send. No WhatsApp Business account or API is needed.

Set up Your AI Team

Your AI Team drafts briefings, client replies and retention nudges. For each agent you choose how much freedom it has: suggest only, ask you first, or run on its own.

Plans, billing and cancelling

Choose or change your plan on the Billing page. Payments are handled by Paddle; Manage billing lets you update your card, download invoices or cancel at the end of the period.

Get notifications on your phone

Turn on Phone notifications in Profile (coaches) or Settings (clients) to get new messages, and for coaches bookings and payment updates, on that device even when CoachevaOS is closed.

Invite a coach and get a month free

Share your invite link from Profile. Coaches who join with it get a 30-day free trial instead of 14 days, and you get a free month when one of them starts a paid plan.
