Why monthly billing beats per-session payments

Per-session payments mean a transaction every week and a conversation every time a client cancels. Monthly billing turns coaching into a relationship with a predictable rhythm, smooths your income, and makes no-shows the client's cost rather than yours.

Step 1: Pick one billing day

Bill everyone on the same day, for example the 1st or the 25th. New clients get a prorated first invoice, then join the cycle. One day a month for billing is easier to remember and easier to check.

Step 2: Invoice in the client's currency

A client in London shouldn't have to convert rupees, and a client in Mumbai shouldn't pay in dollars. Set each client's billing currency once and invoice in it; your records stay clear and clients aren't surprised by exchange rates.

Step 3: Offer the way they already pay

The fastest payments come from methods clients use every day.

Where the client isHow they expect to pay
IndiaUPI (GPay, PhonePe, Paytm), or a Razorpay link for cards
UKBank transfer (sort code and account), or a card link
EurozoneSEPA bank transfer (IBAN), Revolut or a card link
United StatesCard link (Stripe), Venmo, Zelle or PayPal
AustraliaPayID or bank transfer (BSB), or a card link

Step 4: Remind without awkwardness

Most late payments are forgetfulness, not refusal. A friendly reminder two days before the due date and one the day after catches nearly all of them. Write the messages once so you never have to think about wording.

Hi Leo, a friendly reminder that your invoice for £120 is due on Friday. You can pay it from your portal here. Thank you!

Before the due date: short, warm, one link

Hi Leo, just checking you saw this month's invoice for £120. If you've already paid, ignore this and thank you!

After: assumes good faith, gives an easy out

Step 5: Close the loop

When a client pays, mark the invoice paid the same day so your records match your bank. If a client tells you they've paid, check before marking it; in CoachevaOS their I've paid tap shows on the invoice until you confirm.

A 20-minute monthly billing routine

  1. 1On billing day, create this month's invoices (5 minutes).
  2. 2Clients get them in their portal with a Pay now button.
  3. 3Two days before the due date, send reminders from your Reminders list (5 minutes).
  4. 4The day after, nudge anyone still unpaid (5 minutes).
  5. 5Mark payments as they arrive; review who's behind at month end (5 minutes).

Frequently asked questions

Pick one billing day, invoice every client in their own currency, give them a one-tap way to pay that matches their country (UPI, card link or bank transfer), and send a friendly reminder before and after the due date.

Upfront, monthly. It keeps cash flow predictable and makes missed sessions the client's cost rather than yours.

Agree the billing day at the start, make paying one tap, and remind once before and once after the due date with a friendly template.

No. Clients pay you directly through your UPI, payment link or bank transfer from their portal. CoachevaOS creates the invoices, shows the Pay now button and tracks what's paid.
