The three ways coaching software is priced

ModelHow it worksExample (checked Nov 2026)
Per active clientThe bill grows with each clientCoachAccountable: about $20/mo for 2 active clients (Capterra)
Tiers by roster sizePay for a bracket of clientsHevy Coach: $25/mo for 1–10 clients (Capterra); CoachevaOS: tiers from 15 to 100+ clients
Flat priceOne price; limits elsewherePaperbell: $57/mo (paperbell.com)

What 'unlimited clients' usually means

When a plan advertises unlimited clients, check what is limited instead: features (payments, branding or automation on higher tiers), team seats, storage, or support. Unlimited clients on a plan without the features you need isn't a saving.

Active vs total clients

Most platforms count active clients. A client you coached last year, or one who has paused, usually doesn't count. In CoachevaOS, only clients marked Active count towards your plan; paused and churned clients don't.

How to pick a plan you won't outgrow

  1. 1Count your active clients today and your goal for next year.
  2. 2Price each shortlisted tool at the goal number, not today's.
  3. 3Check which features sit on higher tiers.
  4. 4Check how easy it is to move between plans (and out, if needed).

Worked example: pricing at three roster sizes

Imagine you have 12 active clients today and expect 28 in a year. On per-client pricing, your bill more than doubles as you grow. On tiers, you move up one bracket. On a flat plan, the price stays the same but check which features you'd need to upgrade for.

Run each shortlisted tool through the same three numbers: today, in a year, and at your maximum roster. The cheapest today is often not the cheapest at the size you're aiming for.

And remember that paused and past clients usually don't count, so archive clients properly rather than leaving them active.

Frequently asked questions

Some plans advertise unlimited clients but limit features, seats or support instead. Most coaching platforms price by active clients, either per client or in tiers.

Plans are tiered by active clients: Starter 15, Growth 30, Scale 60, Pro 100. Enterprise covers 150+ clients or multiple coaches. Paused and churned clients don't count.

Free tiers exist (for example Satori, and Everfit for up to 5 fitness clients). For paid all-in-one platforms, compare the price at the number of clients you expect next year.
