Why notes break down
Notes start in a notebook, move to a Google Doc, end up partly in WhatsApp. By client twenty you can't find what someone committed to three weeks ago, and sessions start with "remind me where we were".
A 5-minute session note template
Use the same five headings every time. Consistency makes notes skimmable.
- 1Focus: what the client wanted from today, in their words.
- 2Insights: one to three things that shifted.
- 3Commitments: what they'll do before next time, with dates.
- 4For me: what to follow up on or prepare.
- 5Mood / energy: a one-word read; patterns show up over weeks.

Where to keep notes
Keep notes with the client record, not in a separate app. Everything about a client (sessions, notes, check-ins, payments) should be one click away, and private to you. Avoid chat apps for anything sensitive. If you coach clients in the UK or EU, read our GDPR guide.
Use notes to prepare, not just to remember
Two minutes before a session, read the last note and the client's latest check-in. Open with their commitment: "Last time you planned to... how did it go?" Clients notice when you remember.
In CoachevaOS, notes, check-ins and progress sit on each client's profile, and the AI can draft a short pre-session summary for you to review. See how to run effective check-ins.
An example note
Focus: Maya wanted to plan her return to running after a calf strain. Insights: she'd been avoiding runs out of fear of re-injury, not pain. Commitments: two 20-minute easy runs this week, Tuesday and Saturday; message after each.
For me: send the return-to-run plan by Monday; check in Wednesday if no message. Mood: hopeful, slightly anxious.
That took three minutes to write, and next week's session will open with exactly the right question: how did Tuesday and Saturday feel?
