Signs you've outgrown the WhatsApp + spreadsheet setup
You scroll for minutes to find a client's last check-in. Payments live in one sheet, progress in another, and session notes in your head. Clients message at midnight because chat is the only channel. You only notice someone has gone quiet when they don't renew.
None of this is a discipline problem. It is a tooling problem: chat apps are built for conversations, not for running a practice with records, schedules and billing attached to each person.
Step 1: Export what you have
Start with the spreadsheet you already keep: one row per client with name, email, phone, start date, package and status. If your data is spread across several sheets, combine just these columns first; you can add detail later.
Most coaching software, CoachevaOS included, can import clients from a CSV or Excel file, so this one clean sheet saves you typing every client in by hand.
Try it with your own clients
Clients, sessions, payments, check-ins and WhatsApp reminders in one place. Free for 14 days, no card.
Step 2: Set up the workspace before inviting anyone
Before clients see anything, set up your check-in form, the fields you track for your niche (weight and injuries for fitness, goals and focus areas for life coaching), your availability for bookings, and your packages and billing currency.
Clients forgive a new tool. They don't forgive a half-built one, so make the first login complete.
Step 3: Move clients in waves
Invite five of your most engaged clients first. They will tell you what is confusing, and you can fix it before the rest arrive. Move everyone else over the following week.
Send each client one short message: what is changing, the link, and the one thing to do first (for example, complete this week's check-in in the portal). Keep it to three sentences.
Step 4: Set new channel rules
Decide what still happens on WhatsApp, if anything. A common rule: urgent same-day changes on WhatsApp, everything else (check-ins, questions, files) in the portal chat so it stays attached to the client's record.
Put your response hours in the portal and stick to them. The point of moving is to stop working from your notifications.
Step 5: Retire the old system
After two weeks, archive the old spreadsheet and stop updating it. Running both is how data drifts out of sync.
With everything in one place, the daily briefing in CoachevaOS can show who has missed check-ins, whose payment is due and who has gone quiet, which is the work the spreadsheet never did for you.
The message that makes clients switch
Clients switch when it's easier for them, not because you asked. Lead with what they get: one place for sessions, messages and invoices, reminders before each session, and paying in a tap.
Keep the message short, personal and specific, with their link and their next session time. Then, for a couple of weeks, gently redirect anything sent on WhatsApp that belongs in the portal ("I've added that to your portal so it's all in one place").
Within a month, most clients have moved on their own, and WhatsApp goes back to being for quick nudges.
Keep WhatsApp for what it's good at
Clients won't stop using WhatsApp, and you don't need them to. Use it for quick nudges and reminders, and keep sessions, notes, files and payments in the portal. CoachevaOS opens WhatsApp with your reminder already written for each client, so you get WhatsApp's reach without losing the record.
| Use WhatsApp for | Use the portal for |
|---|---|
| Session reminders | Booking and rescheduling |
| Quick check-in nudges | Check-in answers |
| Payment reminders | Invoices and paying |
| A friendly hello | Notes, files, progress |

Not with CoachevaOS: the client portal opens in any phone or desktop browser from a single link.
Most solo coaches can move in about a week: one day to set up the workspace, a few days with a small first group, then everyone else.
