What wellness coaching needs from software

Wellness coaching (sleep, stress, movement, nutrition habits, energy) is about small changes over months. The software's job is to make those changes visible and keep the conversation going between sessions.

  • Weekly check-ins clients answer in a minute on their phone.
  • Goals and progress over time, with notes.
  • Messages in one place, plus gentle nudges when someone goes quiet.
  • Booking in the client's time zone.
  • Payments in the client's currency.
  • Privacy: wellness data is personal; keep it out of chat apps.

Coaching platform or clinical tool?

If you're a licensed practitioner who charts clinical notes, bills insurance or needs HIPAA compliance, use a clinical platform such as Healthie (from $19.99/mo for 10 clients, CostBench) or Practice Better (free tier; paid from about $35/mo). If you coach habits and wellbeing without clinical care, those tools are more than you need.

How CoachevaOS fits wellness coaches

CoachevaOS gives each client a portal for sessions, messages, files and check-ins, tracks goals and progress, and starts your day with who needs attention, including clients who haven't checked in for a week, with a one-tap WhatsApp nudge. Clients pay you directly from their portal. See software for health and wellness coaches.

A wellness client's month in practice

Week one sets one or two habits, for example a consistent bedtime and a ten-minute walk after lunch. Each Sunday the client answers a short check-in: how many days they managed each habit, energy and sleep on a 1–5 scale, and one note.

By week four, the coach and client can see the trend on one page: which habit stuck, which didn't and why. The session focuses on adjusting, not on remembering what happened.

If a check-in is missed, the coach gets a nudge to reach out, which is often the moment the client needed support most.
